Getting started

  • What is Hey Vitae?

    Hey Vitae helps you run a real job search without living in a spreadsheet. Track jobs, prep for interviews, save resumes and cover letters, log follow-ups, and see what is actually moving.

  • What should I set up first?

    Start with your resume and job search profile. Upload an existing resume or build a new one in Docs, then fill out your targets in Settings. That gives Hey Vitae the basics it needs for Apply Strength, Spotlight, interview prep, and better job feedback.

  • Why should I add my resume before anything else?

    Your resume is the source material. Once Hey Vitae can read it, you can get feedback, compare it against jobs, reuse it for Spotlight, and build better prep kits. It is the closest thing to a clean starting line.

  • Should I upload my resume or build a new one?

    Either works. Upload your existing resume if you want quick feedback or already have a solid draft. Build a new editable resume if you want to shape the content inside Hey Vitae and make future changes without hunting down the right file.

  • What is the job search profile for?

    Your job search profile tells Hey Vitae what you actually want: roles, pay range, locations, work setup, sponsorship needs, industries, and priorities. Without it, Apply Strength can read a job. With it, Apply Strength can read the job against your search.

  • How does this help my Spotlight setup?

    A good resume and job search profile give Spotlight better raw material: headline, summary, target roles, links, location, and the kind of work you want. You still choose what is public, but you are not starting from a blank page.

  • What is a good first-job workflow?

    Upload or build your resume, fill out your job search profile, then add one real job with the full description. Run Apply Strength, save a note about what you think, and use that job as your first clean example. Small beats perfect here.

  • Do I have to use every feature?

    Nope. Use the parts that make your search easier. You can start with jobs and notes, then add the @heyvitae.co alias, Chrome extension, Spotlight, or mock interviews when they actually help.

  • What is Apply Strength?

    Apply Strength gives you a quick read on how a job lines up with your resume and targets. It is not a verdict. It is a way to spot strong fits, stretches, and roles that may not be worth a custom application.

Jobs & workflow

  • How do I add a job?

    Go to Jobs and use Add New > Job. Paste the posting URL if you have it, or add the company, title, and description yourself. If you are already on a job posting, the Chrome extension is usually faster.

  • How do I import a spreadsheet of jobs?

    Go to Jobs > Import, upload a CSV or Excel file, map the columns, and review before saving. If your spreadsheet has stage, status, and application date, keep those as separate columns. Future you will appreciate it.

  • How do I change a job's stage?

    Open the job from Jobs and use the stage control in the detail view. Pick the stage that matches reality: saved, applied, screening, interviewing, final, offer, or closed.

  • How do I close or reopen a job?

    Open the job, close it, and choose the reason that fits. Closed jobs stay in your history, because ghosted roles and polite rejections still teach you something. Use the status filters in Jobs if you need to find and reopen one.

  • How do I add notes, reminders, interviews, or contacts?

    Open the job and use the timeline tools. Add notes when something matters, reminders when there is a next step, interviews when a round is scheduled, and contacts when a recruiter or referral should stay tied to the role.

  • What are conversations?

    Conversations are early leads, referrals, recruiter chats, or networking threads that are not full applications yet. Track them before they turn into jobs, so the context does not disappear into your inbox.

  • How do I find a specific job later?

    Use search, stage filters, status filters, starred jobs, stale jobs, and sort options on Jobs. If something disappeared, check whether a filter is still active.

Docs, resumes & cover letters

  • How do I upload a resume?

    Go to Docs, stay on Resumes, and choose Upload a resume. PDF and DOCX work best. Give it a clear name, especially if you keep a base resume and a few role-specific versions.

  • What is a resume variant?

    A resume variant is a separate resume lane for a different angle: your general resume, a product-focused resume, an operations resume, a leadership resume, and so on. Use variants when the story is meaningfully different, not just because you fixed a typo.

  • What is a resume version?

    A version is a newer draft inside the same resume variant. Use versions when you are improving the same resume over time: cleaner bullets, better ordering, stronger wording, or a fresh pass after feedback.

  • What is the difference between an uploaded resume and an editable resume?

    An uploaded resume is the file you already have. Hey Vitae can store it, read it, and give feedback on it. An editable resume is built inside Hey Vitae, so you can change sections, reorder content, and keep improving it without going back to Word or Google Docs.

  • How do I set a default resume?

    In Docs, open the menu on the resume group you use most and set it as default. If you want new jobs to start with that resume selected, turn that on in Settings > Preferences > Job lifecycle.

  • How do I create a cover letter template?

    Go to Docs > Cover Letters and build a new template. Keep the reusable parts there, then make job-specific versions when a role deserves more than a quick tweak.

  • What is a cover letter template?

    A cover letter template is your reusable starting point: the structure, voice, and pieces you expect to use again. Keep it broad enough that it can survive more than one job posting.

  • What is a customized cover letter?

    A customized cover letter is the job-specific version. It should mention the role, company, and the most relevant proof from your background. This is where you stop sounding like you sent the same note to everyone.

  • How do I customize a cover letter for a job?

    In Docs > Cover Letters, choose Customize for job on a template and pick the role. Hey Vitae keeps the custom version with that job, instead of letting it vanish into a downloads folder with six nearly identical names.

  • What is Smart Draft?

    Smart Draft gives you a starting point from your profile, resume context, and job details. Treat it like a first draft, not the final word. Your edits still matter.

  • Why is document analysis still loading?

    Large files can take a little time. Refresh Docs first. If it still looks stuck, check that the file opens normally and is under the upload limit, then send us a note from this page.

Interviews & mock practice

  • How do I prepare for an interview?

    Move the job into an interview stage, then open Interviews. Prep kits keep questions, notes, and context tied to the actual role, which beats digging through old docs ten minutes before the call.

  • Where do interview notes and reflections go?

    They stay with the job. After a round, jot down what went well, what felt shaky, and what you want to remember before the next call.

  • How do I start a mock interview?

    Open the job's interview prep area and choose the mock interview option. Pick the interview stage, make sure your microphone is ready, and start when you have enough quiet time.

  • Where do I find mock interview reports?

    Go to Interviews > Mock Interviews, or open the related job's prep area. Reports stay connected to the job, so your practice notes are there when the real interview shows up.

  • Why can I not start another mock interview?

    Mock interviews are included based on your plan. Check Settings > Account to see what you have available. If you just upgraded, refresh Settings once; if it still looks off, send us a note.

Spotlight & sharing

  • What is Spotlight?

    Spotlight is your public candidate page. Use it when a resume is not enough: share your story, selected work, highlights, and role-specific links in one clean place.

  • How do I claim my Spotlight handle?

    Go to Settings > Account > Username & Spotlight. Pick the handle carefully. It becomes part of your Spotlight URL, short links, and @heyvitae.co alias.

  • How do I publish or unpublish my Spotlight?

    Go to Spotlight and use the public/private control. Nothing is public until you publish it, and you can unpublish when you want to pause sharing.

  • How do I choose what appears on Spotlight?

    Open Spotlight and choose what you want people to see: headline, summary, photo or video, resume, links, highlights, work samples, location, and contact button.

  • How do role-specific Spotlight links work?

    From a job, create a role-specific Spotlight link when you want an employer to see a more focused version. If someone views it, that activity can help you see which roles are getting attention.

Settings, email & extension

  • How do I change my profile or account email?

    Go to Settings > Account > Profile. That is where you can update your name, photo, newsletter choice, and account email.

  • How do I change job targets and scoring preferences?

    Go to Settings > Job search > Job targets. Add the roles, pay range, locations, work authorization, industries, and priorities that actually matter to you. Apply Strength gets sharper when it knows what you want.

  • How do I set or hide my application goal?

    Go to Settings > Job search > Application goal. Set the weekly number you want, or hide the goal from the Dashboard if it is not useful right now.

  • How do I change notifications and reminders?

    Go to Settings > Preferences. Notifications decide which updates reach your inbox. Reminders decide when Hey Vitae nudges you about follow-ups.

  • What is Email mode?

    Email mode controls how much your @heyvitae.co alias helps. Forward only is for logging updates. Two-way email is for keeping recruiter replies connected to the right job.

  • How do I set up email forwarding?

    Go to Settings > Preferences > Email mode, then choose Set up forwarding. Copy your @heyvitae.co alias, create the forwarding rule in Gmail, Outlook, or iCloud, and send the test email before you call it done.

  • How do I connect the Chrome extension?

    Install or load the extension, sign in to Hey Vitae in Chrome, then go to Settings > Account > Connections > Connect extension. After it connects, return to a job page and use the sidebar.

  • How do I choose defaults for new jobs?

    Go to Settings > Preferences > Job lifecycle. Choose whether new jobs start as saved or applied, whether your default resume is selected, and whether Hey Vitae watches postings for changes.

Billing, limits & troubleshooting

  • Where do I manage billing?

    Go to Settings > Account. You can see your plan, usage, upgrade options, and billing portal there.

  • What happens when I hit a limit?

    You will see a clear limit message and the option to upgrade. Your existing jobs, docs, and notes stay put. The limit only stops new activity beyond what your plan includes.

  • My magic-link login is not working. What should I check?

    Use the newest email link, check spam, and make sure you open it in the same browser where you started login. If you requested several links, older ones may no longer work.

  • Checkout worked, but my plan did not update. What now?

    Refresh Settings first. If it still looks wrong after a minute or two, send us a note with the email on your account and we will take a look.

  • My forwarded email did not show up. What should I check?

    Run the test from Settings > Inbox first. If the test does not arrive, the forwarding rule probably is not catching the message yet. If the test works, check Dashboard and the matching job timeline.

  • The Chrome extension will not connect. What should I check?

    Open Hey Vitae in Chrome, make sure the extension is installed and enabled, then reconnect from Settings > Account > Connections. If it still fails, reload the extension and try again.

  • Why is my Dashboard missing activity?

    The Dashboard fills in as you add jobs, forward mail, set reminders, schedule interviews, or share Spotlight links. If you just added something, refresh once. If a job seems missing, check your filters in Jobs.

  • A draft or analysis failed. Did I lose anything?

    Usually no. Your saved job, doc, or notes should still be there. Try once more with the job description or document content filled in. If it fails again, send us a note and tell us what you were trying to do.
