Getting started

  • What is Hey Vitae?

    Hey Vitae helps you run a real job search without living in a spreadsheet. Track jobs, prep for interviews, save resumes and cover letters, log follow-ups, and see what is actually moving.

  • What should I set up first?

    Your resume, then your job search profile. Upload an existing resume or build a new one in Docs, then fill in your targets under Settings — roles, pay range, locations, work setup, sponsorship needs, and priorities. The resume is the source material and the targets are what Hey Vitae judges a role against; without them, Apply IQ can read a job but cannot tell you whether it fits the search you actually want.

  • Should I upload my resume or build a new one?

    Either works. Upload your existing resume if you want quick feedback or already have a solid draft. Build a new editable resume if you want to shape the content inside Hey Vitae and make future changes without hunting down the right file.

  • What is Apply IQ?

    Apply IQ helps you decide where to apply and how to strengthen the application. Its Apply Strength score shows how a role lines up with your resume and targets, while the supporting feedback surfaces covered requirements, gaps, resume opportunities, and cover-letter coverage. It is guidance, not a verdict.

  • Do you give an ATS score?

    No. Hey Vitae does not produce an ATS score, and we will not tell you that a resume is going to "pass" an applicant tracking system — those systems differ per employer, and the pass rates quoted around the internet are not measurable from outside. We score how you fit a real posting instead, which is a different and more honest question.

  • Does Hey Vitae work on mobile?

    Yes. Hey Vitae runs right in your phone's browser, with nothing to install. Add jobs, check interview prep, log follow-ups, and review your pipeline on the go, then add it to your home screen if you want one-tap access. A couple of things are still easier on a bigger screen, like the Chrome extension (desktop Chrome) and heavy resume editing, but the day-to-day search works from your phone.

Jobs & workflow

  • How do I add a job?

    Go to Jobs and use Add New > Job. Paste the posting URL if you have it, or add the company, title, and description yourself. If you are already on a job posting, the Chrome extension is usually faster. You can also forward a posting to your Hey Vitae email alias.

  • What are the stages?

    Saved, Applied, Screening, Interviewing, Final, Offer, and Landed. Within a stage you can also set a substage — recruiter screen, take-home, panel, final round, offer negotiation, references, and so on — so the board matches how the process actually ran.

  • How do I close a job, and what happens to it?

    Open the job, close it, and record the outcome: accepted, disqualified, withdrawn, ghosted, or expired. Closing is separate from the stage, so a rejection in the final round still shows you reached the final round. Closed jobs stay in your history on purpose — ghosted roles and polite rejections are the data Insights reads.

  • How do I import a spreadsheet of jobs?

    Go to Jobs > Import, upload a CSV or Excel file, map the columns, and review before saving. If your spreadsheet has stage, status, and application date, keep those as separate columns. Future you will appreciate it.

Docs, resumes & cover letters

  • How do I upload a resume?

    Go to Docs, stay on Resumes, and choose Upload a resume. PDF and DOCX work best. Give it a clear name, especially if you keep a base resume and a few role-specific versions.

  • What is the difference between an uploaded resume and an editable resume?

    An uploaded resume is the file you already have. Hey Vitae can store it, read it, and give feedback on it. An editable resume is built inside Hey Vitae, so you can change sections, reorder content, and keep improving it without going back to Word or Google Docs.

  • What is the difference between a resume variant and a version?

    A variant is a separate lane for a genuinely different angle: your general resume, a product-focused one, an operations one, a leadership one. A version is a newer draft inside the same variant — cleaner bullets, better ordering, a pass after feedback. New variant when the story changes, new version when the same story gets better. Fixing a typo is not a variant.

  • What is Smart Draft?

    Smart Draft gives you a starting point from your profile, resume context, and job details. Treat it like a first draft, not the final word. Your edits still matter.

Interviews & practice

  • How do I prepare for an interview?

    Move the job into an interview stage, then open Interviews. Your prep kit is built around that specific role and your own background, and it brings the likely questions, targeted drills, a cheat sheet to keep open during the call, and the option to have a friend run the interview for you.

  • What is a prep job?

    A prep job is a role you have activated for interview preparation. A job becomes one the first time you run prep against it — a prep kit, a stage brief, Deep Prep — and it stays activated for the life of that job, so re-running or regenerating prep on it later costs nothing more. Your plan sets how many new roles you can activate, not how much you can prepare for each one.

  • How do I run a practice interview?

    Open Interviews > Practice. You speak out loud, an AI interviewer listens and answers back, and you get a scored report afterwards. You can run one against a specific role from that job's prep area, or with no job at all. The same studio also holds simulations — a scene with an AI counterparty rather than an interviewer — and typed warm-up drills that do not use a session.

  • Why can I not start another practice interview?

    Every account gets 3 free practice interviews to try them — a one-time grant, not a monthly reset. After that, add a 5-interview pack ($15, on any plan) or upgrade to Max, which includes a monthly allotment. Warm-up drills and Interview with a friend still work either way. Check Settings > Account to see what you have available; if you just upgraded, refresh Settings once.

  • What is Deep Prep?

    Deep Prep is a Max-plan upgrade to your prep kit. Hey Vitae researches the company and role and folds what it finds — recent context, the situation you would be walking into, and how your background lines up — into the kit you already have. It builds on the standard prep kit instead of replacing it.

Spotlight & sharing

  • What is Spotlight?

    Spotlight is your public candidate page. Use it when a resume is not enough: share your story, selected work, highlights, and role-specific links in one clean place.

  • Is my Spotlight page public?

    Not until you publish it. Private is the default, not something you have to arrange, and you can unpublish at any time to pause sharing. You also choose what appears item by item: headline, summary, photo or video, resume, links, highlights, work samples, location, and contact button.

  • How do role-specific Spotlight links work?

    From a job, create a role-specific Spotlight link when you want an employer to see a more focused version — tailored on top of your base page, without changing it. If someone views it, that activity can help you see which roles are getting attention. Free includes one role-specific link; Plus and Max let you tailor one for every job.

Email, extension & settings

  • What is the @heyvitae.co email alias?

    Every account gets one. Forward a recruiter email or a posting to it and Hey Vitae reads it, works out which job it belongs to, and logs it on that job's timeline. Forward to you+new@heyvitae.co and it creates the job instead. It only works from your account email, so nobody else can add anything to your account.

  • How do I set up email forwarding?

    Go to Settings > Account > Connections > Email forwarding. Copy your @heyvitae.co alias, create the forwarding rule in Gmail, Outlook, or iCloud, and send the test email before you call it done. You can choose whether the alias only logs forwarded updates or also keeps recruiter replies connected to the right job.

  • What does the Chrome extension do?

    It saves a job from whatever posting you have open, scores your fit with Apply IQ right in the sidebar, drafts a cover letter, and autofills application forms from your profile. Install it, sign in to Hey Vitae in Chrome, then connect it from Settings > Account > Connections. It is desktop Chrome only.

  • Can Hey Vitae do things automatically?

    On Plus and Max, yes — three optional automations under Settings > Preferences > Job lifecycle. Apply IQ can score new jobs as they land, interview prep can be built when a job reaches an interview stage, and the posting watcher can tell you when a role is taken down or reposted (on Greenhouse, Lever, Ashby, Workable, and SmartRecruiters postings). All three are off until you turn them on.

  • What email will Hey Vitae send me?

    Only what you switch on under Settings > Preferences > Notifications: a weekly digest on a Monday or Friday, interview and follow-up reminders, a nudge when mail has gone unanswered, and a note when someone opens a job-specific Spotlight link. The digest is skipped entirely in a week with nothing to report.

Plans, billing & your data

  • What do the plans cost?

    There is a free plan with no card required, plus Plus and Max. Each paid plan can be bought monthly or as a six-month Job Search Pass, which is a single payment and works out cheaper than paying by the month. See the pricing page for current figures.

  • Does the Job Search Pass auto-renew?

    No. A pass is paid once, covers six months, and then simply ends — there is nothing to cancel and no renewal charge. It also pools your monthly allowances across the whole six months instead of resetting each month, so you can spend them at whatever pace your search needs.

  • What happens when I hit a limit?

    You will see a clear limit message and the option to upgrade. Your existing jobs, docs, and notes stay put. The limit only stops new activity beyond what your plan includes.

  • Where do I manage my plan and billing?

    Settings > Account. Your plan, current usage, upgrade options, and the billing portal for receipts, invoices, and cancellation are all there.

  • Can I export my data or delete my account?

    Both, yourself, from Settings > Privacy. Export gives you a JSON file of your jobs, document details, contacts, and account information. Deleting removes your jobs, documents, contacts, mailbox, and profile, cancels any renewing subscription at the same time, and leaves a 30-day grace period — sign back in within it and you can cancel the request.

  • Something is not working. What should I do?

    Open the help widget inside the app — it can see your plan and account, answer from our full support material, and pass you to a person when that is the right answer. If you cannot sign in, send us a note from this page instead.
